Summary: The Forward Planning Coordinator is responsible for executing key tasks specific to new development properties. They will assist the consulting team with DRE budgeting tasks and business development opportunities, as well as assisting the Accounting division by providing support to the New Development Escrow team in new development project setup, phasing, developer billing, and bond tracking.

Essential Job Duties and Responsibilities:

  • Maintain Consulting Project Tracker.
  • Follow up on outstanding consulting proposals and invoices.
  • Perform common area takeoffs on consulting projects.
  • Create updated monthly budgets for consulting projects, reflecting new closings in community.
  • Assist with marketing materials, such as holiday cards/emails, and purchase end of the year gifts.
  • Schedule developer lunches and business development opportunities.
  • Assist in new project setups in preparation of first closings. This includes document collection and distribution; and bond release preparation, tracking and reporting, kickoff meeting setup.
  • Assist in new phase annexation by reviewing required documents, importing new addresses to data software, and implementing the new phase budget.
  • Assist with lender HOA certification requests for developing projects.
  • Address information inquiries from homeowners, lenders, and appraisers.
  • Process builder and developer billing in new development accounts.
  • Maintain and monitor bond tracking and releases for new development accounts.
  • Participate in file maintenance.
  • Set up and verify new homeowners.
  • Process refunds to developers and owners for overpayment of assessments and/or fees.
  • Assist Supervisor with various tasks and projects.
  • Practice and adhere to Keystone’s Core Values, Mission, and Vision.
  • Any additional job duties as required by supervisor.


Qualification Requirements:

  • Must have a valid Driver’s License and maintain a clean MVR.
  • Must have reliable transportation.
  • Ability to work under tight deadlines and consistently meet deadlines.
  • Exhibit consistent professionalism, professional attire, and demeanor.
  • Demonstrate effective strong verbal and written communication and listening skills.
  • Demonstrate problem solving abilities.
  • Must be proficient with computer programs, including MS Office such as Word, Outlook, Excel, and Teams
  • Demonstrate organizational skills and ability to independently prioritize daily workload.
  • Must work effectively with co-workers and clients.
  • Excellent interpersonal skills.


Education and/or Experience:

  • 2-3 years of experience working in a Customer Service role.
  • Previous HOA management experience preferred, not required.
  • Building/Development experience preferred, not required.
  • Bachelor’s Degree preferred.
  • High School Diploma or GED required.
