Position Summary:

As Senior Specialist Supply Chain EMEA & APAC, you are responsible for the day-to-day activities related to shipping medicinal product to customers and the execution of contract manufacturing (labeling) orders. In addition, you will be supporting inventory reconciliation, month-end close and KPI reporting. To be successful in this role, you have gained experience with international distribution of life science product and with contract manufacturing. You demonstrate a high level of engagement and are very self-driven. Your way of working is very organized, and you keep focus to detail in a complex and changing international environment. You are very comfortable with business applications MS Office, SharePoint, SmartSheet and ERP systems (Oracle). You are at ease collaborating with internal and external partners based in Europe, in the U.S. and Asia Pacific. Being creative in finding solutions, applying curiosity and agility to stretch, broaden and deepen your skillset, moving outside of your comfort zone, excite you about this role. Work Model:
Flex: This role will typically require onsite work 2-3 days each week, or more depending on business needs. In many locations, the business will set certain days each week that Flex employees are required to be onsite.
Responsibilities:
- Manage time sensitive shipments of medicinal products in close collaboration with internal and external partners in Europe, in the U.S. and Asia Pacific
- Prepare export/import documentation and arrange for Import Permits as applicable
- Provide excellent customer service and act as the key point of contact to customers
- Maintain shipment database to record and track all shipments, and record keeping of shipment documentation, communications, and temperature results in line with GxP requirements and SOPs
- Track shipment issues in our Quality Management System (damage, temperature excursions, non-compliance, etc.) and support resolution of recurring problems in collaboration with internal and external partners
- Coordinate the on-time execution of 2ndary packaging orders with our external vendor(s) and our Quality Department
- Execute transactions in ERP for shipments and 2ndary packaging
- Perform inventory reporting and reconciliation, and assist Finance with financial close
- Support KPI reports and analytics for regular cross-functional business reviews (analytics & graphs)
- Key contact for SharePoint site administration
- Audit invoices of service providers for distribution and packaging services
- Support continuous improvement projects within the team
- Bachelor’s Degree in Business or related field
- +5 years relevant professional experience, strong preference within life sciences/biotech distribution and packaging
- Good understanding of INCOTERMS, Global Trade Regulations and Customs procedures
- Good understanding of cGxPs and life science industry procedures and regulations, experience working with Veeva Vault QMS is an asset
- First experience in Project Management is an asset
- Effective communication skills at different levels and with authority bodies: verbal, written, and presentation
- Fluent in German and English, French is a strong plus
- High attention to detail, the ability to multi-task and deal with ambiguity and a high level of complexity
- Excellent learning agility and committed to contribute to a growing organization, as a team and as an individual
- High level of proficiency with the Microsoft Office Suite (Excel, Word, PowerPoint, Visio, Outlook), SharePoint, and SmartSheet (additional asset)
- Confidence working in a hybrid team environment, virtual, and across different cultures and time zones
